The Administrative Office Head is responsible for leading, managing, and coordinating the entire administrative office to operate effectively, with discipline, delegating tasks, monitoring results, resolving problems, and reporting in a timely manner to ensure administrative services are fast, accurate, transparent, safe, compliant with company policy, and support business goals. Key Duties: 1. Leading, planning, and managing the team
- Lead, manage, and coordinate the work of 5 departments: Document Management, Security and Transportation, Camera Surveillance, Sanitation, and Protocol.
- Convert annual plans into monthly, weekly, and daily plans with clear responsibilities, deadlines, and expected results.
- Delegate tasks, set priorities, monitor unfinished work, and push for completion according to deadlines and defined standards.
- Lead daily/weekly work monitoring meetings, provide guidance, coach, and evaluate staff performance, and propose training plans, improvements, or disciplinary measures according to company procedures, including succession planning.
- Represent the Director of Administrative Affairs in monitoring and coordinating daily work, within the scope of delegated authority, and report significant cases beyond authority in a timely manner. 2. Managing administrative operations
- Lead and monitor the flow of requests, documents, and incoming/outgoing correspondence from receipt, review, numbering, submission for opinion/decision, tracking, to archiving, ensuring easy retrieval and tracking.
- Prepare, review, and revise draft policies, procedures (SOPs), formats, official letters, minutes, and announcements before submitting them to the Director of Administrative Affairs for review and decision.
- Manage administrative service requests, set Service Level Agreements (SLAs), monitor status, and resolve complaints/feedback from service recipients.
- Manage and coordinate the management of office supplies, assets, equipment, meeting rooms, events, transportation, and other support services efficiently, economically, and in good working order.
- Monitor security standards, transportation, CCTV systems, and sanitation, and ensure prompt reporting of risks, irregularities, or incidents.
- Ensure the accuracy, security, and confidentiality of documents, information, and camera data in accordance with company policy.
- Coordinate maintenance work for equipment, buildings, and the work environment with specialized departments or suppliers, and monitor until completion.
- Coordinate and supervise suppliers/contractors.
