About the role
- Organize and coordinate meetings by scheduling appointments, inviting participants, arranging refreshments, booking meeting rooms and equipment, preparing meeting materials, and taking meeting minutes.
- Coordinate guest reception and arrange meetings with visitors as instructed by President.
- Organize and attend company meetings, visits, and lunches and dinners.
- Interpreting for President during meetings and translating meeting documents.
- Manage President's travel arrangements, including booking flights, hotels, and transportation, and accompanying President on trips when required.
- Maintain and safeguard the confidentiality of the company's and President's digital and physical documents and information.
- Communicate messages and instructions from President to relevant individuals or departments and ensure timely follow-up and responses.
- Assist in managing and monitoring President's calendar, ensuring all meetings and appointments are properly scheduled and no commitments are missed.
- Perform other administrative and operational duties as assigned by President.
Requirements
- Bachelor's Degree in Administration, Management, or a related field.
- Executive Secretary or Executive Assistant supporting senior executives in a large organization. for 1 year as a minimum.
- Fluent in spoken and written English.
- Proficient in Microsoft Office applications, including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Microsoft Outlook (Email).
- Strong communication and interpersonal skills, with the ability to effectively liaise with people at all levels.
- Excellent organizational, planning, problem-solving, and time management skills, with the ability to work overtime when required.
