• Research potential vendors, compare and evaluate offers from suppliers.
• Negotiate contract terms of agreement and pricing.
• Track orders and ensure timely delivery with the right quality of purchased products.
• Enter order details (e.g., vendors, quantities, prices) into internal databases.
• Maintain updated records of purchased products, delivery information, and invoices.
• Prepare reports on purchases, including cost analyses.
• Monitor stock levels and place orders as needed, and coordinate with staff to ensure proper storage.
• Coordinate stock control operations with warehouse staff, as well as the sales and finance departments.
• Analyze supply chain data to ensure the uninterrupted availability of stock.
• Forecast supply and demand to prevent overstocking and running out-of-stock (OOS).
• Oversee stock storage processes, including tagging, boxing, and labeling.
• Maintain a steady flow of stock from storage to where it is needed.
• Control accounts payable balances and ensure they are settled according to credit terms.
• Perform regular inventory audits and keep stock purchasing within budget.
• Maintain and update daily shipment records, as well as purchase and pricing reports.

• Proven experience as a Purchasing Officer, Purchasing Agent, or similar role.
• Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors).
• Hands-on experience with purchasing software (e.g., Procurify or SpendMap).
• Understanding of supply chain procedures.
• Solid analytical skills, with the ability to create financial reports and conduct cost analyses.
